Time Portal allows us to edit multiple employees at one time. This is helpful when activating or inactivating employees, assigning or unassigning employees to a crew, adding or removing pay rates and more. Below we will cover the steps to follow in order to edit multiple employees at one time.
1. On the Employees list screen, there is a button at the top of the screen called "More". Click it, then click "Bulk Edit".
When the "Bulk Edit" button is clicked, check boxes appear on the left side of the grid. Use these checkboxes to select the employees you would like edit. Please see the article Time Portal table grid tips and tricks for easier and quicker methods of selection. Click "Cancel Bulk Edit" if you want to exit the selection process.
When not in bulk edit mode, clicking on an employee record will navigate you to that record's detail screen. When in bulk edit mode, navigation is disabled for the purpose of selecting records.
2. Select the records you want to edit. Once one or more records are selected, the "Edit " button appears at the bottom of the screen. Click the "Edit " button.
3. Once the "Edit " button is clicked, a popup window will appear. This window contains the fields that can be bulk edited for employees.
!Important! - Only the form fields with a value set will update the selected records. In other words, form fields left blank/empty, will not change any data. For example, if I want to update the status for all the selected employees, I would ONLY set the status dropdown value and leave all the other form fields blank. When I click save, only the status would be updated and nothing else.
The bulk edit utility can also be used to clear or unassign values as well. If you are wanting to remove an Hourly Rate or Minimum Wage Rate for example, you can enter the value "-1" into the Hourly Rate or Minimum Wage Rate form fields. This will tell Time Portal to remove any assigned rates respectively.
The Crew select list also provides an item called "*** Remove Crew Assignment ***". When selected, this item will remove the selected employees from the crew they are currently assigned to.
The Remove Badge Number switch allows us to remove the assigned badge numbers from the selected records. This is helpful if you need to reassign existing badge numbers to new employees. The switch is off by default so that no badge numbers will be removed. Flip the switch on to remove badge numbers.
