The Time Portal Mobile App can collect the geo-location of workers as they clock into and out of jobs in the field. Once the mobile device data has been uploaded, the location information can be viewed on a map within the Time Sheet screen.
As illustrated above, Clock Ins and Clock outs appear as green and red dots. If groups of workers clock in and out at the exact same location, the check boxes near the top of the screen can be used to hide or show clock in and clock out "layers" to make it easier to identify an individual or group at a particular location.
As illustrated below, the Map Style can be changed in order to provide context or meet personal preferences. When the mouse is hovered over a dot, a pop-up message will identify the employee who clocked in at that geo position.
Notice the larger red dot is an indication that multiple employees clocked out at that exact location. When the mouse is hovered over this dot, the pop-up message will identify a couple of the people as well as the total number who clocked out at that geo position.
Collecting Geo Location Data
The following is required to collect the geo coordinates of clock ins and clock outs
- The "Capture GPS" option on the Mobile Policies tab of the My Company screen must be enabled
- The Time Portal Mobile App (IOS, Android or Windows) must be running on a device that has a GPS sensor and has allowed the Time Portal Mobile App to access location data.
Showing the Map
Click the Map button on the "Records" tab of the Time Sheet Screen to display the Map in a pop-up window.
- If none of the records includes geo location information, a message will be displayed to inform you that the map is not available.
- If the Time Sheet has not yet been approved, you may select individual records, as illustrated below, to include in the map.
- If the Time Sheet has been approved, or no records have been selected, the map will be displayed with points for all records that include either clock-in or clock-out coordinates.
How to view the map in full screen mode
Once the map is displayed, the Full Screen button will resize it to occupy the entire screen area. Once in full screen mode, a similar button (or the Escape key) can be used to restore the map to its normal size.
How to know which records have Geo Location Data
The Time Sheet Records List can be configured to include the "Map Data", "Clock In Coordinates" and/or "Clock out Coordinates" columns as illustrated below.
To add these columns, click the "columns" button, next to the Search box, then check the columns which should be made visible. Be sure to click the Apply button.
Once included, the Map Data column will display a "pin icon" for each record that has any type of geo location data while the Clock In Coordinates and Clock Out Coordinates each provide the actual longitude/latitude where the event occurred. If desired, the headings of the columns can be "dragged" to the left or right to reposition each column within the list.
Identifying employees who clocked in at the same location
To identify everyone who clocked out at a particular location, hover the mouse over the large dot that represents multiple people and then take note of one of the listed names. Close the map and sort the Time Sheet Records by "Clock Out Coordinates" then locate the noted employee name within the list and observe the names of all records with the same coordinates.
