The Pay Rate Sources Report can be used as a tool to identify the various hourly rates paid to each employee as well as the Source for each applied rate. As illustrated below, Debbie Jones was paid $14.33/hour for a period of time using the Company Rate. For other periods of time, she was paid $14.88/hour using the Job Rate and $14.77/hour using the rate which was manually entered into Time Sheet Records.
As discussed in the article Hourly rates and how they are applied, Time Portal allows you to set up a Company rate, which can be overridden by a Worker Contract, Crew, Job or Employee Rate. When an Employee's Time Sheet Record is created, the hourly rate is determined by first checking the Company Rate, then the Worker Contract Rate, then the Crew Rate, and so forth. While this allows you to handle special situations such as special pay for certain jobs, it can also lead to confusion when determining why an employee was paid a particular hourly rate. Use the Pay Rate Sources report to help identify the source of hourly rates but, more importantly, try to keep it simple by specifying the hourly pay rate in the Company Settings and in as few other places as possible.
To produce the Pay Rate Sources Report, click the Reports drop-down menu at the top of the screen. Then click Pay Rate Sources.
The parameters for printing the Pay Rate Sources Report are Start and End Date, Crews, Employees, Jobs, Growers, Locations, Crop/Varieties, Time Sheet Statuses and Wage Rules. These options provide granularity in record selection.
Note: The Query Type option allows you to specify whether a Crew filter will use the Employee's home crew or the crew for which he may have performed work, if on loan. The Employee Type option allows you to specify whether just Crew Leaders or just non Crew Leaders should be included.
The Report Type option lets you choose whether the report is generated as a PDF file or an Excel Spreadsheet. After selecting the desired parameters, click Get Report.
Note: You can use the Report Destination option to Queue the report if you believe that it will return a large amount of information. The report will be produced in the background and an on-screen indicator will let you know when it has been completed.
As illustrated below, the Excel version of the Pay Rate Sources report can be used to sort and filter the data to identify, for example, all employees with a particular hourly rate or whose pay was determined using a particular source.
