Report Bundles provide a powerful way to streamline recurring reporting tasks. Each Report Bundle includes up to five reports as well as predefined criteria that can be generated on demand or automatically delivered by email according to a schedule.
- For example, a Report Bundle titled “Pay Period Reports” might include the Time Sheet Summary, Payroll Summary and Crew Detail reports for the current Pay Period. Every Friday night, this set of reports could be automatically sent via email to the CFO and to each Crew Leader.
- Another Report Bundle titled “Gower XYZ Billing Summary” might include the Payroll Summary, Location Summary and Billing Summary reports for a particular grower. This set of reports could be automatically sent to the grower on the last day of each month.
Managing Report Bundles
To create or modify Report Bundles:
- Open the Reports page.
- Click on the Manage link next to “My Report Bundles” near the bottom of the page
The Report Bundles Page
The Report Bundles page includes the Report Bundles created by all users within your organization.
Notice the buttons in the Action column to “Add to reports” or “Remove from reports”. Using these buttons, each user can choose which Report Bundles appear on their personal Reports page. This allows supervisors, administrators, and office staff to focus on the bundles most relevant to their role.
Click the Create button to create a new Report Bundle.
Click anywhere on the row of a listed Report Bundle to review or update. This brings you to the Report Bundle Detail screen.
Report Bundle Detail Screen
The detail screen provides all configuration options for the selected Report Bundle. It is organized into sections that allow you to:
1. Describe the Report Bundle
- Enter a name and description
- Select up to five reports that should be included
2. Specify report criteria options
- Select a Date Range such as “Current Pay Period”, “Previous Pay Period”, “Last Month”, etc.
- Select specific Crews, Employees, Jobs, Growers, Locations, Crop/Varieties, etc.
- Select the report format such as PDF or XLS. Note that some reports are only available as PDF or XLS and may therefore ignore this selection.
3. Define Scheduled Emails
The Scheduled Emails tab allows you to review and manage one or more automated emails for each Report Bundle. For example, you may wish to send the reports to Crew Leaders each night and to the CFO only once per week.
Time Portal will automatically generate the reports and send them to the designated recipients based on these rules.
Report Bundle Actions
Notice the buttons at the top of the screen:
A shortcut to the Report Bundle can be placed on the current user’s Reports Page by clicking the “Add to Reports” button. If the report has already been added, the button will be labeled “Remove from Reports” as illustrated in the image above.

The Report Bundle can be run “on demand” by clicking the “Run Report” button near the top of the screen. It can also be run from the Report Bundles List or from a link on the Reports Page as described below.

The Report Bundle can be deleted by clicking the “Delete” button. Caution: This will permanently remove the Report Bundle and its history.

Editing the name and selected reports
Click the Edit button to change the Name, Description and associated reports then click the Save or Cancel button when finished.
Specifying Report Criteria
The Options Tab allows for the selection of report criteria that will be used when each of the associated reports is generated. Click Edit to change the options as illustrated below.
Scheduled Emails
The Scheduled Emails list includes columns identifying email recipients, frequency, date last sent and Action. (As with all lists in Time Portal, additional columns can be shown by clicking the “|||” button.)
- Click the “Add Scheduled Email” button to create a new scheduled email.
- Each Scheduled Email defines the Subject, Message, Email Addresses and Frequency of the email:
- The Subject will appear in the recipient’s inbox
- The Message is optional and will be included along with a standard header and list of generated reports
- The Frequency determines how often the email will be sent:
- Daily emails will be sent at the very end of the day for each selected day of week.
- Weekly emails will be sent at the very end of the day on the selected day of week.
- Monthly emails will be sent at the very end of the day on the last day of the month.
To modify a Scheduled Email, click the “:” button in the Action column and select “Edit”.
As illustrated, a pop-up window includes options for changing email recipients, subject, message and email frequency.
To test the Scheduled Email, click the “:” button in the Action column and select “Send Now”. After doing so, the status of the report creation/mailing can be checked by clicking the Notification icon at the top of the screen to display the Notification window.
To check whether an email was sent, click the “:” button in the Action column and select “View Email Log”. A pop-up window will include a facsimile of the most recently sent emails.

Report Bundles provide a flexible, efficient way to manage recurring reporting needs. By grouping related reports, saving predefined criteria, and enabling automated email delivery, Time Portal helps ensure that the right information reaches the right people at the right time—without repetitive setup or manual effort.
