Time Portal Mobile helps you record your work time, review your records, and send your activity to your employer. This guide covers getting started in Single User mode, where you record your own work.
Available options depend on your company's settings. The example screens below use sample data and the light theme; your device may look slightly different.
Before you begin
- Install the new Time Portal Mobile app using the instructions provided by your employer.
- Have the phone number and access code provided for your account ready.
- Connect to the internet for your first sign-in and initial sync.
If you do not know your sign-in information, contact your supervisor or company administrator.
1. Sign in
- Open Time Portal Mobile and choose your preferred language.
- If the PIN login is displayed, select Switch to Access code login.
- Enter your Phone number and Access code.
- Select Log in.
Use your account's phone number and access code for the initial sign-in.
2. Create your PIN
If prompted to set a PIN:
- Enter a four-digit numeric PIN.
- Enter the same number in Confirm PIN.
- Select Save.
You can use your PIN for faster sign-in on this device. Keep it private.
3. Complete the initial sync
The app downloads the information needed to record your work, such as the jobs and locations available to your company. Keep the app open and connected while this finishes.
When sync completes, select OK to continue. Your first setup must download the required company information before you can begin using the app.
If sync reports a problem, read the message and follow the suggested action. For a connection problem, check your internet connection and try again. If the problem continues, contact your administrator or support with the message shown.
4. Allow location access if required
Your company may require location access when clocking in or out. If the app asks you to enable it, follow the on-screen instructions.
For device-specific steps, see Enable location access in Time Portal.
5. Record your work
The Home screen shows whether you are clocked in or out, your upload status, and hours stored on this device.
Example: Home before recording the first shift.
Clock in
- On Home, select Clock in.
- Review the work details and complete any required selections. The available fields depend on your company.
- Select Clock in to save the record.
- After the success message, select OK.
Clock out
- On Home, select Clock out.
- Review your shift information. For a piece or hourly-plus-piece job, select Piece count, enter your final total for this shift, and select Save. Enter zero if you produced no pieces.
- Select Clock out to save your work.
- Answer whether you are done for the day. If you are finished, continue to review and approve your work.
Review and approve your workday
- Review the day's times, work details, and totals. Resolve any incorrect information before approving.
- Follow the prompts to select a reason or provide a signature if required.
- Select Approve work when you have finished reviewing the day.
- If Review next day appears, you can continue reviewing another day with work waiting for approval.
Approval confirms your review of the work. You still need to upload the records so your employer receives them.
6. Review your time records
Select Time records at the bottom of the screen. Use the arrows to view another pay period. When viewing another period, select Current pay period to return to the current period.
Tap a day to expand its records, then select a record to view its full details, including notes.
Example: a completed four-hour record that has been approved and uploaded.
An active shift can appear before you clock out. Hour totals include completed work plus elapsed time from your open shift, and update while it remains open. Totals use compact hours and minutes, such as 1h 15m or 45m. Approval and upload are separate states: a saved or approved record is not necessarily uploaded.
7. Send your records
Check Home for work waiting for approval or upload. A count of upload-ready items does not include work that still needs approval.
- Connect to the internet.
- Open the menu and select Sync.
- Keep the app open until sync finishes and review the result.
If records are still waiting to upload, follow any approval or error messages shown. Do not assume that saving a record means your employer has received it.
Working without an internet connection
After the initial setup is complete, you can sign in using information already stored on the device and record work offline. Required location settings still apply. Reconnect and sync to send your records.
Do not uninstall the app or clear its data while you have work waiting to upload.
Add or update your employee photo
Open the menu and select the camera action on your profile picture. Allow camera access if prompted, then select Take photo. Use Switch camera if needed. Review the preview and select Use photo, or Retake to try again. Cancel leaves your existing photo unchanged.
Your accepted photo is saved on the device for upload during Sync. Keep the app open and check the Sync result. Photo changes are unavailable in training mode.
Need help?
Open the menu and select Support. Include what you were trying to do and the message you received when requesting help. If support asks for diagnostic information, use Upload diagnostics on that screen.
