Once your account has been established within Time Portal, you'll receive a password that will let you log into Time Portal along with your email address.
How to get into the App
Click the "Sign in" button on the Time Portal web page or type the following address into your web browser:
The login screen looks like this:
Once you've logged in, the screen will look like this:
Take a look around
Take note of the options for Modules, Reports, Lists and Import. The details for each of these options will be discussed later. Click on the drop-down menu option at the very right hand side of the screen. This is where you'll get started.
Set up your company
Click the My Company option on the drop-down menu to enter information about your company and specify options such as a standard hourly rate, minimum wage, pay period length and rounding rules. For now, just enter the information that makes sense to you. You can enter the rest of it later once you have a bit more information.
Load your data into Time Portal
Click the Lists option at the top of the screen to review the types of information that will be associated with work activities. You will certainly define Crews, Employees, Crop/Varieties and Jobs. Depending on the type of work you perform, you might also define Growers, Locations and more.
You can manually enter your list data directly into the web app but some of the list information (employees, crews, locations and crop/varieties) can be imported by clicking the Import option at the top of the screen. Check out the topic Importing Data into Time Portal.
Create a practice Time Sheet
A Time Sheet represents the work performed by a crew of employees for a single day, so please ensure that at least one Job is defined and (at least a few) employees are associated with a crew before moving on.
Click the Modules option at the top of the screen, select Time Sheets and then click the green button Create Time Sheet for a selected crew and the current date.
The Time Sheet can be deleted later as described here.
Click the Add Record button to add Time Sheet Records that describe the work performed by each employee. You can add records one at a time or for all employees at once.
Check out the reports
Now that you have some data in the system, feel free to play with the Time Keeping Reports and Summary Reports by clicking the Reports option at the top of the screen. As you do so, be sure to include Uploaded as one of the included statuses.
Set up your payroll interface
Time Portal generates payroll data files that can be imported by your payroll application at the end of each pay period. To set up Time Portal to work with your system, click the Modules option at the top of the screen, select Payroll Exports then click the Payroll Export Settings button. Edit the Payroll Template to select your payroll system from the drop down list.
The topic Getting Started with Exporting to Payroll provides much more information on payroll exports including a discussion on how Time Portal works with each type of system.
