Time Portal can collect the current Geo Location coordinates each time the mobile app is used to clock an employee into or out of a job. Once the mobile device has been synchronized, the Time Portal Web Application can be used to view a map with "pins" that graphically indicate the location where each employee clocked in or out of each job.
Notes:
- The Mobile Policy to "Capture GPS" must be enabled within the Time Portal Web Application
- The Android App Permission for Location must be granted to the Time Portal mobile app
- Geo Location information is not currently supported when the app is used in "Punch Mode"
Enabling "Capture GPS" in the web application
As illustrated below, the option to "Capture GPS" may be enabled on the Mobile Policies tab of the "My Company" settings screen. Once this option has been enabled, mobile devices must exit and restart Time Portal Mobile, even if they perform a Sync operation.
Granting the Android App Permission for Location
After enabling the "Capture GPS" setting on the Time Portal Web App, each Android device must also be configured to allow the Time Portal Mobile App to access Android's location services.
For company-owned devices, a good practice would be to grant the Location permission from Android's Home Screen in order to avoid the pop-up permission request described below. You can also use this technique if troubleshooting is required.
Granting permission from Android's Home Screen
To grant the Location Permission from Android's Home Screen, it is not necessary to have Time Portal running. From Android's App List, locate the Time Portal App then press-and-hold the icon as illustrated below. After a few seconds, the "App Info" option will be displayed. Tap App Info.
Once the "App Info" screen is displayed, tap on the "Permissions" option as illustrated below.
After selecting "Permissions", the App Permissions screen will be displayed as illustrated below. Tap on "Location" then select the option "Allow only while using the app" once prompted. If the device will not be used between seasons, it may be advisable to turn off the option to "Remove permissions if app isn't used". Doing so will prevent Android from automatically removing the location permission when the device remains unused for several months.
Granting permission during employee clock-in
If Android's Location permission has not been granted to Time Portal Mobile, the Android Location Permission dialog will be displayed each time an employee is clocked-in or clocked-out (until the permission is granted.) The "Maybe later" option can be selected to continue without collecting location information or the "Settings" option can be selected to grant location information as described below.
After selecting "Settings", Android's App Info dialog will be displayed as illustrated below. Tap the "Permissions" option as indicated.
The App Permissions screen will list Allowed and Denied permissions as illustrated below. Tap on the Location permission to change its status.
After selecting "Location", the Android Location Permission screen will be displayed as illustrated. Select the option "Allow only while using the app" then use the back-arrow to return to the previous screen(s).
Once the location permission has been granted, Time Portal Mobile will automatically collect the Geo Location coordinates (latitude and longitude) of the device upon each clock-in or clock-out.
Geo Location information is not supported in Punch Mode
Punch Mode is a special mode that allows multiple devices to each collect clock-ins, clock-outs or piece counts for workers and then, after all the devices have synchronized, the Time Portal web application combines the data and generates standard Time Sheet Records.
Since Time Portal Mobile does not currently collect Geo Location data for Punch Mode, Time Portal's Settings Page can be reviewed when troubleshooting to verify that Punch Mode is not enabled.
